Topic 5: Start Menu - Business Checks

Business Checks



How do you set up your business bank account?

The first thing you want to do is to choose what kind of bank you want to handle your business accounts. You need to figure out what is important to you and to the success of your business: 

    1) Location 
  • On-line or local
  • International or domestic
  • ATM accessibility
    2) Banking fees and costs
    3) Interest bearing checking
    4) Online bill pay and transfers
    5) Minimum balance requirements
    6) Bank stability and reputation
    7) Credit availability and service

I chose a local credit union. The credit union is member owned and not for profit. I originally used a regular bank, and I had to pay monthly fees. Now, I get paid a little interest on my money instead, so I can put my dollars to better use. My credit union is tied into a network of credit unions, so there is an ATM network available nationwide. I can pay all my bills online, transfer funds, and do everything I need right from my computer at home.

What will I need to open my account?

Typically, you will need to bring the following to your bank of choice when you want to set up an account:

  1. Articles of Incorporation
  2. A copy of your business license
  3. A certificate of a corporation in good standing
  4. Your EIN number
  5. Your personal ID
  6. Anyone who will be co-signing

Usually, the bank gives you a set of starter checks. I choose not to order my checks directly from the bank, as this is usually offered at a premium price. Instead, I like to shop on-line and order my checks that way. Be sure to have the following ready when you order:

  1. Your bank's routing number
  2. Your bank account number
  3. Your logo or picture

I prefer to order my checks with my photo printed directly on it, so no one can fake being me.

I also like leaving a personal message on my checks, just above my signature. It usually says something to show my appreciation, like “Thanks for Doing Business,” or “Your Business is Appreciated,” or “With Gratitude,".

I also like to get checks with carbon duplicates. It's a great way to help keep yourself organized.

Topic 4: Start Menu - Tax ID and Business Licenses

Ok, have you incorporated yet? 
Great!  Now it's time to talk about Tax ID's and Business Licenses.

START  Tax Id and Business Licenses


What is an EIN and why would you need it?

An EIN is a Employer Identification Number. If you are hiring employees you will need it or if you run your business as a corporation or a partnership.

I chose to incorporate as an LLC and to run my company as a corporation. When I went to open my company bank account, the bank asked me for this number, my incorporation documents, my business license and for a “Certificate of Good Standing”. Also, I do not plan on hiring any employees myself, but when I have picked up contract work and I have had to fill out an I-9 form I have used this number.

What Business Licenses will you need?

After Incorporating, you will also want to get a State Business License for the place you will be doing business. In addition, you may need to get a business license for your county, city, or for your specific expertise.

I know it can be confusing, but just start with the Federal ID number and work your way down – State, County, City and then expertise.

Got it?

After you have your licenses, you will want to go back to your dashboard at Incorp, scan and upload copies of them. That way, you have a copy of all of your corporate docs safe in one place.  If you choose not to use Incorp, I suggest creating a business folder on your computer where you scan and keep a copy of all your corporate documents.  You will want both a hard copy and an electric copy saved in a file.

Topic 3: Start Menu - Incorporating


Ok, do you have your business plan ready?  
Well then, lets talk about incorporating.

There are many reasons to incorporate
  • Lawsuit and liability asset protection
  • Taxes and tax breaks
  • Management structure
  • Operational requirements
There are several different ways that you can create your business structure.  
  • Sole Proprietor:  Sole control of company, unlimited liability, personal taxes
  • General Partnership:  Equal management, unlimited liability, personal taxes
  • Limited Liability Company (LLC):  Member management, liability protection, personal taxes unless structured differently.
  • Corporation (CO):  Director management, shareholders, liability protection, corporate taxes.
  • Limited Partnership (LP):  Director management, at least one partner has liability, Corporate taxes.  
  • Limited Liability Partnership (LLP): Partners manage, liability protection, Corporate taxes.

Here is what I did.  I want to keep my costs down. 

1)  Study incorporation notes at Incorp.
2) Went directly to the Secretary of State website 
      * I use Nevada:  
         http://nvsos.gov/index.aspx?page=152
      *  I incorporated at the government website.
      *  I ordered a "Corporation in good standing" certificate at the government website.
3) I Went back to Incorp.
4) I Ordered a Registered Agent
      * You NEED a registered agent to accept legal documents for you.  You can be your own registered agent, but then you would have to be at your office during all business hours in case you are served.  Why get tied down?
